Based in Dublin 2, this dynamic, fast-moving organisation are looking to hire a skilled Office Coordinator to join their team in order to provide Office Management, Administrative and Operational support to both the team and Management, as well as assisting on cross-company projects.

As their new Office Coordinator, you will be primarily responsible for supporting the team and wider organisation on a number of administrative and project based tasks, coordinating office operations, and day to fay office management. This is an excellent opportunity for someone with strong organisational, communication and problem-solving skills!

The new Administrative Assistant will be responsible for:

  • Managing day to day office operations – ensuring it remains a welcoming and high functioning place to work
  • Managing relationships with vendors, suppliers and building management teams
  • Taking ownership of facilities and maintenance issues – managing to resoultion
  • Arranging, scheduling and supporting meetings
  • Coordinating travel to include hotel booking, transfers and booking restaurants
  • Researching and developing new processes and systems that can help the organisation streamline, scale and grow
  • Supporting interview processes and recruitment – assisting with onboarding, setting up, and welcoming new starters
  • Managing multiple inboxes, physical post, incoming calls, and correspondence
  • Planning events – quarterly and bi-annual meet ups, Christmas Party, Summer BBQ
  • Managing orders, snacks, drinks fridges, supplies, and stationary
  • Financial administration – invoicing, raising Purchase Order, settling expenses, etc.
  • Providing top tier administrative and operational support to the team

The skills and experience you need:

  • Experience as an Office Manager, or in a standalone Administrator in a fast paced environment
  • Must be extremely tech-savvy – high level of proficiency with spreadsheets and other office suite tools
  • A natural affinity towards using tools and systems to ehance productivity and efficiency  
  • Must be a self-starter, who is able to work both autonomously and collaboratively

Note: Due to the central nature of this job, this is an on-site position. There will be some flexibility to work from home on occasion, if required. Hours are 37.5 per week, but flexibility can be offered on start / finish times.
