The Work

As a Site Administrator, you will play a key role in keeping the site running smoothly by providing comprehensive administrative and coordination support to our operations and site services teams.

  • Provide day-to-day administrative support to site management, project managers, engineers, and site personnel.
  • Maintain accurate and up-to-date project documentation, records, and filing systems (both electronic and hard copy).
  • Manage document control processes, including drawings, RFIs, permits, reports, revisions, and other project documents.
  • Assist with onboarding and induction documentation for new employees and subcontractors, ensuring all paperwork is complete and compliant.
  • Track and update training records, certifications, and site compliance documentation.
  • Prepare and process timesheets, purchase orders, delivery logs, and expense records in line with company procedures.
  • Liaise with suppliers, contractors, and head office teams to coordinate administrative requirements and resolve queries.
  • Maintain accurate site attendance records, visitor logs, and related site access documentation.
  • Support health and safety administration, including audits, reports, permit tracking, and documentation management.
  • Handle incoming calls, emails, and correspondence professionally, ensuring prompt and clear communication.
  • Assist with procurement and ordering of office and site supplies to support daily operations.
  • Ensure confidentiality, accuracy, and integrity of all company and project information handled.

The Person

The ideal candidate is organised, proactive, and comfortable working in a fast-paced engineering or construction environment, with strong attention to detail and a collaborative mindset.

  • Proven experience in an administrative role, ideally within engineering, construction, industrial, or similar site-based environments.
  • Strong organisational, multitasking, and time-management skills, with the ability to prioritise effectively.
  • Excellent communication and interpersonal skills, with a professional approach to colleagues, subcontractors, and suppliers.
  • Ability to work independently while contributing positively to a busy team environment.
  • High level of accuracy and attention to detail when managing documents, records, and data.
  • Experience with document control systems is desirable.
  • Administration or business qualification is an advantage.
  • Minimum 2 years’ experience working on industrial or pharmaceutical sites is preferred.
  • Knowledge of health and safety documentation processes is beneficial.
  • Familiarity with ERP or project management systems is an asset.
