Medical Secretary
Location: East Galway City
Hours: 37 hour week, there may be some variations in working times, depending on which clinic you are supporting. This role is on-site.

About Your New Job
- Deliver high-quality secretarial and administrative support to a portfolio of consultants, ensuring seamless daily operations.
- Manage patient scheduling for outpatient clinics, theatre lists and day ward admissions with a focus on efficiency and minimising delays.
- Serve as the first point of contact for patients, GPs, referring clinicians, nursing staff, and consultants, providing professional, empathetic, and timely communication.
- Prepare and process medical documentation—including clinical correspondence, reports, referral letters, and discharge summaries—with accuracy (including audio typing when required).
- Maintain and update consultant diaries, proactively coordinating cancellations, rescheduling, and optimising resource allocation.
- Support technology upgrades (e.g., electronic health records, booking systems) for consultants and the wider team.
- Provide flexible cross-cover in the secretarial/administrative team, ensuring continuity during staff leave or peak periods.
What Skills You Need
- Secretarial or a business qualification (medical secretary training is an advantage).
- Experience in a medical secretarial or administrative role, experience within a private hospital or specialist healthcare setting is essential.
- Exceptional communication and interpersonal skills with a compassionate, professional approach.
- Strong organisational skills and proven ability to manage multiple priorities in a busy environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook); knowledge of healthcare IT systems and audio typing is beneficial.
- High attention to detail and accuracy in document preparation and typing.
