Medical Secretary
East Galway
Short term contract, with possibility of becoming permanent in the future.

About Your New Employer:
This Medical Secretary job is based with a private practice in a Clinic, supporting two Medical Consultants.
- Working alongside three medical secretaries and two nurses, supporting a busy consultant-led practice.
- Play an important role in coordinating outpatient clinics, cath lab procedures, referrals and patient correspondence.
About Your New Job:
As the Medical Secretary, you will provide experienced administrative support. You will be expected to work independently and hit the ground running with minimal training.
Your Medical Secretary Job responsibilities will include:
- Managing out-patient clinics by booking and confirming appointments and greeting and checking in patients.
- Coordinating theatre and cath lab bookings with hospital scheduling teams, lab management and the existing administrative team.
- Processing referrals from GPs, consultants and inpatients, prioritising appointments where required.
- Acting as a key point of contact for patients, GPs, consultants and hospital teams by phone and email.
- Requesting and tracking external clinical records, including scans, histology and pathology reports.
- Completing medical dictation and audio typing following consultations.
- Preparing and distributing accurate clinical correspondence and reports to referring GPs, patients and consultants.
- Maintaining accurate electronic filing systems and updating patient records.
What Skills You Need:
- A minimum of 2 years’ experience as a Medical Secretary, ideally within a private practice or hospital environment.
- Strong proficiency in Microsoft Word, Excel and standard IT systems.
- Proven experience using the IMedDoc database is highly advantageous but not essential if you have worked on other similar Clinic systems and databases.
- Experience using Heidi or another AI-powered generative dictation service is desirable but not essential.
- Excellent written and verbal English, with a professional and confident telephone manner.
- The ability to manage confidential information, prioritise tasks and work accurately in a busy clinical environment.
- A relevant medical secretarial qualification would be an advantage but this is not essential.
