Position: Executive Assistant to VP

Location: On-site, East Galway

Salary: €45,000 - €55,000 plus benefits

Hours: 9.00am to 17:30pm Monday to Thursday, 9.00am to 15.00pm on Fridays

Our agency is recruiting an Executive Assistant to VP for our client in East Galway.

Your future job responsibilities:

  • Support the VP in managing their calendar and prioritizing strategic meetings.
  • Organize and coordinate meetings, take minutes, track actions, and follow up with stakeholders.
  • Manage business travel arrangements (bookings, itineraries, logistics) in collaboration with a dedicated travel agency.
  • Monitor project marketing budgets, provide basic financial reporting, and coordinate with vendors.
  • Draft and distribute clear, structured communications to teams and international stakeholders.
  • Centralize and relay the VP’s requests to teams, ensure cross-functional coordination and timely delivery.
  • Ensure smooth information flow and message consistency across the organization.

The Ideal Profile:

  • Proven experience (minimum 3 to 5 years) as an Executive Assistant or Personal Assistant, ideally in an international environment but this is not essential.
  • Excellent organizational skills, attention to detail, and ability to prioritize.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaborative tools.
  • Excellent written and verbal communication skills in English (French is a plus but this is not essential)
  • Discretion, confidentiality, and ability to work with diverse and multicultural stakeholders
  • Ability to manage multiple tasks simultaneously and work under pressure
  • Willingness to travel occasionally (up to 10% of the time)
