About Your New Job as a Document Control Assistant
- As a Document Controller Assistant, you will support the Document Controller in acting as a communication bridge between internal design teams and external stakeholders — clients, contractors and consultants — helping ensure everyone always works from the most up-to-date information.
- You will assist in maintaining accurate registers for all architectural drawings, specifications and reports.
- Help apply strict versioning and naming conventions (e.g. ISO 19650), ensuring outdated revisions are correctly archived and never used on-site.
- Support the formal issue and distribution of document sets to external parties, helping track all transmittals.
- Assist with uploading and organising files within Electronic Document Management Systems (EDMS) such as Aconex, Procore, Newforma or ACC.
- Support regular audits and quality checks, helping verify document completeness, correct metadata and compliance with studio protocols.
- Assist in tracking the status of submittals, RFIs (Requests for Information) and approvals, contributing to progress updates for project managers.
What Skills You Need
- You bring strong attention to detail, with the precision needed to identify revision numbers, title block details and naming errors.
- Proficient in MS Office, particularly Excel; exposure to document control or EDMS software (e.g. Aconex, Procore, Newforma, ACC) is an advantage but training will be provided.
- You communicate effectively across diverse disciplines, comfortable liaising with architects, engineers and site managers.
- You bring up to 1 years’ experience or a relevant qualification — candidates from an administrative or coordination background looking to move into document control are also welcome.
- You will be able to work in a fast paced environment with stringent deadline
