Site Administrator – Engineering Company (Leixlip)

Location: Leixlip
Department: Operations / Site Services
Reports To: Site Manager / Project Manager
Employment Type: Full-Time

Role Overview

We are seeking an organised and proactive Site Administrator to support the day-to-day administrative operations of a busy engineering site in Leixlip. The successful candidate will provide administrative, document control, and coordination support to project managers, engineers, subcontractors, and site personnel to ensure efficient project delivery and compliance with company procedures.

Key Responsibilities

  • Provide administrative support to the site management and engineering teams.
  • Maintain accurate project documentation, records, and filing systems.
  • Manage document control processes including drawings, RFIs, permits, reports, and revisions.
  • Assist with onboarding and induction paperwork for new employees and subcontractors.
  • Track training records, certifications, and site compliance documentation.
  • Prepare timesheets, purchase orders, delivery logs, and expense records.
  • Liaise with suppliers, contractors, and head office regarding administrative requirements.
  • Maintain site attendance records and visitor logs.
  • Support health & safety administration including audits, reports, and permit tracking.
  • Handle incoming calls, emails, and correspondence professionally.
  • Assist with procurement and ordering of office/site supplies.
  • Ensure confidentiality and accuracy of company and project information.

Requirements

  • Previous experience in an administrative role, ideally within engineering or construction environments.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Experience with document control systems is desirable.
  • Ability to work independently and as part of a fast-paced team.

Desirable Qualifications

  • Administration or business qualification.
  • Experience working on industrial or pharmaceutical sites.
  • Knowledge of health & safety documentation processes.
  • Familiarity with ERP or project management systems.
