Bid Coordinator – Support Role

About Your New Job

  • As the Bid Coordinator, you will coordinate the entire preparation and submission process for both public and private sector tenders, expressions of interest, pre-qualification questionnaires, and other bid submissions.
  • Review RFP and tender documents to identify key submission requirements, deadlines, and compliance criteria.
  • Efficiently manage inputs from internal and external subject matter experts, consultants, and project partners, ensuring timely and accurate compilation of all documentation.
  • You will be responsible for formatting and compiling bid documents to meet RFP standards and company brand guidelines, supporting the creation of technical proposals, presentations, and qualification documents.
  • Uphold document control, version management, proofreading, and quality assurance throughout the bidding cycle, and maintain the bid content library and supporting databases.

What Skills You Need

  • Previous experience in bid coordination, bid support, or a similar administrative or project support role, ideally within architecture, engineering, construction, or related sectors.
  • Strong understanding of public and private sector tender processes.
  • A relevant third-level degree or equivalent qualification.
  • Excellent organisational and coordination abilities to manage multiple deadlines and priorities.
  • Demonstrated attention to detail, document quality, and accuracy.
  • Confident communicator, both written and verbal, with strong interpersonal skills.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel) and Adobe InDesign for professional document production.
  • Fluent written and spoken English. German language skills are a plus.
  • Proactive, collaborative, and comfortable working both independently and as part of a team.
