  • Contract: Temporary (2–3 months initially, with strong potential to extend or convert to permanent)

  • Start Date: Immediate with Interviews being held week commencing 29.06

  • Hours: 35 hours per week (9:00am – 5:00pm, Monday to Friday)

  • Working Model: Fully onsite initially 

About the Role

A leading organisation in the higher education and research sector is seeking an experienced Personal Assistant / Executive Assistant to support a Vice President and Senior Director within a busy senior leadership office.

This is a fast paced, high profile role requiring excellent judgement, discretion, and the ability to manage competing priorities. There is strong potential for this role to become permanent, and candidates interested in longer term opportunities are encouraged to apply.

Key Responsibilities

  • Provide high-level PA and administrative support to the VP and Senior Director

  • Manage complex and frequently changing diaries across multiple stakeholders

  • Monitor and manage a busy shared inbox, triaging and responding as appropriate

  • Prepare briefings, presentations, reports, and meeting documentation

  • Attend and minute senior level meetings and committees

  • Coordinate meetings, events, and hospitality arrangements

  • Organise domestic and international travel

  • Support procurement processes, expenses, and general office administration

Person Specification

  • Experience in higher education or public sector environments

  • Proven experience as an Executive Assistant or Personal Assistant at senior level

  • Exposure to procurement/finance administration

  • Exceptional organisational and diary management skills

  • Experience managing high volume inboxes

  • Strong communication and stakeholder management skills

  • High level of discretion and confidentiality

  • Experience taking accurate minutes

  • Strong attention to detail and ability to work under pressure

  • Proactive, flexible and solutions focused approach
