Reporting to the Administration Manager, this is a stand alone, hands on role within a collaborative team of approximately 60 employees.

Key responsibilities include:

  • Answering and managing a high volume switchboard (up to 700 calls per month), handling complex or unclear queries professionally and directing them to the appropriate department.
  • Managing multiple shared inboxes and ensuring emails are passed promptly to the correct teams.
  • Welcoming visitors and managing the sign in process in a warm and professional manner.
  • Coordinating daily post, confidential documentation, deliveries and couriers.
  • Liaising closely with an on site post room and internal departments.
  • Setting up boardrooms for meetings (including tea/coffee when required) for approximately two weeks per month, which involves an earlier start during these periods.
  • Supporting general office, facilities and administration tasks as needed.

The Ideal Candidate

  • Previous Reception or front of house experience required
  • Warm, friendly and professional with a strong customer service approach
  • Calm, organised and confident handling busy phone lines
  • Comfortable dealing with sensitive and sometimes confusing enquiries
  • Excellent multitasking and time‑management skills
  • Discreet, reliable and respectful of confidentiality
  • Enjoys being office based and takes pride in creating a welcoming environment

This role would suit someone who genuinely enjoys Reception work and is seeking a stable, long term opportunity.

Hours

  • Standard hours: 9:00am – 5:00pm, in Office on site.
  • Rotating early shift: 8:00am – 5:00pm, approximately two weeks per month (meeting support).
