Reporting to the Administration Manager, this is a stand alone, hands on role within a collaborative team of approximately 60 employees.
Key responsibilities include:
- Answering and managing a high volume switchboard (up to 700 calls per month), handling complex or unclear queries professionally and directing them to the appropriate department.
- Managing multiple shared inboxes and ensuring emails are passed promptly to the correct teams.
- Welcoming visitors and managing the sign in process in a warm and professional manner.
- Coordinating daily post, confidential documentation, deliveries and couriers.
- Liaising closely with an on site post room and internal departments.
- Setting up boardrooms for meetings (including tea/coffee when required) for approximately two weeks per month, which involves an earlier start during these periods.
- Supporting general office, facilities and administration tasks as needed.
The Ideal Candidate
- Previous Reception or front of house experience required
- Warm, friendly and professional with a strong customer service approach
- Calm, organised and confident handling busy phone lines
- Comfortable dealing with sensitive and sometimes confusing enquiries
- Excellent multitasking and time‑management skills
- Discreet, reliable and respectful of confidentiality
- Enjoys being office based and takes pride in creating a welcoming environment

Hours
- Standard hours: 9:00am – 5:00pm, in Office on site.
- Rotating early shift: 8:00am – 5:00pm, approximately two weeks per month (meeting support).
