We are seeking a highly organised and proactive Personal Assistant and Office Support professional to provide dedicated support to a CEO within a regulated professional services / asset management environment, while also contributing to the smooth daily operation of a growing Dublin based office.
Key Responsibilities:
PA to the CEO
- Proactively manage the CEO’s diary, scheduling and prioritising meetings
- Prepare meetings, including IT setup, rooms, catering, and logistics
- Collate and prepare briefing packs and supporting documentation
- Coordinate complex domestic and international travel, including visas and itineraries
- Prepare and submit expense reports for the CEO and Executive team
- Manage correspondence, calls, post, and information flow
- Handle confidential matters with the highest degree of discretion
- Liaise with external stakeholders and professional counterparties
- Maintain executive memberships, subscriptions, and registrations
Events, Travel & Promotional Activity
- Organise corporate events, presentations, and company gifts
- Manage group and promotional travel, including Hotel sourcing and rate negotiation, Coordination with international stakeholders, Booking transport and accommodation, Preparing detailed itineraries and acting as group coordinator where required
Office & Shared Support Responsibilities
- Provide general office support as part of a wider support team
- Coordinate office supplies, suppliers, and facilities
- Prepare internal and external communications, reports, and presentations
- Organise company wide travel, visas, and accommodation as required
- Coordinate documentation for signature and internal approval
- Take meeting minutes and prepare follow-up actions
- Draft and maintain internal processes and procedures
- Act as Health & Safety Coordinator
- Liaise with building management and service providers
Requirements
- Proven experience as a Personal Assistant, Executive Assistant, or in a comparable senior administrative role
- Proven experience managing complex diaries and travel arrangements
- Excellent working knowledge of Microsoft Office
- Strong organisational and time management skills
- Excellent written and verbal communication abilities
- High levels of discretion, professionalism, and integrity
- Strong problem solving skills and sound judgement
- Experience in a funds, investment management, or regulated environment is an advantage, but not essential
