Facilities Co‑Ordinator

Fixed-Term Contract (12–13 Months)

100% Office-Based

We are currently recruiting a Facilities Co‑Ordinator to join a busy operations support team on a 12–13 month specified purpose contract, covering maternity leave. This role is fully onsite and ideally suited to someone available to start within two weeks.

This is an excellent opportunity for an experienced administrator to join a well established organisation operating within the built environment sector.

The Role

You will support the daily operations of the business, working closely with Field Engineers, Facilities Management Account Managers, and office-based teams to ensure smooth and efficient service delivery.

Key Accountabilities

  • Timesheet management and reconciliation of engineer hours for job costing prior to payroll submission
  • Weekly costing of project and tender works, including client-specific costing uploads to the financial system
  • Assist with daily costing and reconciliation of engineer daywork hours as required
  • Liaise with FM Engineers on operational queries, providing follow-up support where needed
  • Assist with monthly quotes and inter-company processes
  • Monthly review and updating of departmental guidelines
  • Assist with or provide cover for dispatching job ticket numbers to FM Engineers
  • Undertake any other duties appropriate to the role and business needs

Experience, Knowledge & Qualifications

  • Minimum 5 years’ experience in a strong administrative role
  • Proven experience in a Facilities Industry
  • Proficient IT skills with proven experience using Microsoft Office (Word, Excel, etc.)

Salary & Benefits

  • Salary: €35,000 – €40,000 (DOE)
