Our client are Dublin based biotechnology company looking for an EA and Business Support expert to help assist in their current growth phase.
Role Overview
This is a hands-on position supporting both the CEO and broader executive team, with a primary focus on business operations administration. You’ll be one of only two in the Dublin office, so initiative, autonomy, and strong technical skills are essential. The role is ideal for a senior admin/EA who enjoys variety, responsibility, and is happy with a small office/hybrid setup.
Key Responsibilities
Executive Assistance
- Manage CEO’s diary, travel, logistics, and expense claims
- Prepare meeting materials, track actions, and ensure follow through
- Act as primary point of contact for CEO and internal/external stakeholders
Business Operations
- Provide proactive business support across finance, legal, business development, and general operations
- Manage contract workflows: circulate for signature (DocuSign), track status, ensure proper filing in SharePoint
- Support expense management for CEO, ELT, and team
- Maintain asset and IT registers (laptops, phones, equipment)
- Handle SharePoint and document control—filing, version control, access/sharing
Board & Event Management
- Organise quarterly Board meetings: logistics, hotels, venues, food/restaurants, on-site support
- Prepare and circulate board packs, templates, and materials
- Support key business events, team-building, and dinners
General Administration
- Front-of-house coordination: calls, mail, visitors, client/partner liaison
- Maintain core admin reference packs, trackers, contact lists, templates
Benefits:
- Location: Dublin 2 (Hybrid: 2-3 days in office)
- Salary: €50,000–€55,000
- Hours: 9am–5:30pm, Mon–Fri

Candidate Profile
- Experienced Executive Assistant/Admin with prior exposure to business operations
- Comfortable working independently in a small office (only 1-2 people present daily)
- Excellent technical skills: Word, Excel (advanced), PowerPoint (advanced), SharePoint, Teams
- Proven ability to prepare high quality presentations and reports for executives and boards
- Strong attention to detail, thorough documentation and process management
- Self-starter with initiative; able to anticipate needs and work proactively
- High integrity, professionalism, discretion (handling confidential docs: NDAs, CDAs, contracts)
- Interest in technology, AI, and learning new tools
