Senior Executive Assistant / Secretary to Head of Representation 

Europe House, Dublin 2 (Hybrid – min. 3 days onsite)
Immediate start | Contract until Aug (with strong potential extension 12–36 months)
€46,134 per annum /  €22.18/hour) + 28 days annual leave + Irish & European public holidays

About the Role

This is a senior, high exposure Executive Assistant role supporting the Head of Representation within a prominent international office in Dublin.

Operating at Ministerial and international level, this position requires an individual who is already experienced in navigating government, public sector, or EU/diplomatic environments, and who can confidently engage with senior stakeholders across multiple jurisdictions.

  • Act as primary support to managing a high-volume, high priority workload
  • Oversee a complex and frequently shifting schedule, briefings and commitments
  • Coordinate with senior stakeholders across Government departments, State bodies, International offices, embassies, institutional counterparts, Media and external stakeholders
  • Prepare, review and manage high quality documentation, correspondence and briefing material
  • Attend senior level meetings, produce accurate minutes, and ensure follow up 
  • Lead coordination of high-profile visits, engagements and events
  • Ensure seamless operational and administrative functioning of the office

Essential Requirements 

Applications will only be considered from candidates who meet the majority of the below:

  • 5+ years’ experience in a senior EA / Executive Office / Secretariat role
  • Direct experience supporting senior leadership (Director level, Head of Office, Ministerial or equivalent)
  • Previous experience within government, public sector, EU institutions, NGOs, or international organisations
  • Demonstrated experience interacting with high level stakeholders (e.g. senior civil servants, diplomats, executives)
  • Strong track record managing complex diaries, competing priorities, high-level meetings, logistics, formal documentation and briefing materials
  • Proven ability to operate with discretion, diplomacy and sound judgement
  • Excellent written and verbal communication skills
  • Advanced proficiency in MS Office, Teams and SharePoint

Highly Desirable

  • Experience within EU or policy environments
  • Exposure to Cabinet-level or institutional liaison work
  • Irish language capability
  • Experience coordinating public-facing or diplomatic events
