About Your New Job

  • Key Responsibilities:
    • Greet clients and visitors, contact relevant person or take messages if required.
    • Open, stamp, sort, and scan incoming post, ensuring distribution to each department.
    • Monitor outgoing post, ensure items are franked, and that registered post is labelled correctly and logged.
    • Manage requests for storage boxes, forward to file stores, and arrange for boxes to be returned when completed.
    • Book all local and international couriers and keep a detailed log.
    • Manage the boardrooms and client-facing areas.
    • Manage visitor parking.
    • Ensure the ordering of all couriers and take responsibility for packages being sent and received.
    • Order taxis as required and manage the record of taxi orders.
    • Manage the electronic diaries and bookings for meeting rooms.
    • Prepare teas and coffees for boardrooms.
    • Keep meeting rooms fully stocked (pens, flip charts) and tidy.
    • Perform other ad hoc duties as required in supporting the firm.

What Skills You Need

  • Previous reception experience is essential.
  • Ability to confidently communicate with clients at all levels.
  • Excellent professional etiquette and helpful attitude.
  • Client service orientation and customer service skills.
  • Excellent communicator and team player.
  • Self-motivated with excellent organisational skills.
  • Ability to adapt to a fast-paced, hands-on environment.
  • Proficiency in MS Office and switchboard experience.
