Part-time Office Coordinator

About Your New Employer as a part-time Office Coordinator

  • This is a 2 month temp job available in a amazing architectural firm
  • They are looking for someone 3 morning a week (12 hour week)
  • If you have experience as an office coordinator or senior administrator and are looking to reduce your hours, or coming back to work after being off this could be the perfect job for you

About Your New part-time job

  • Manage the studio space to create a clean, tidy professional space, including dusting models, watering plants
  • Answer phones, transfer calls, pass on messages
  • Oversee the tidiness and stocking of the kitchen areas
  • Responsibility for incoming and outgoing post
  • First port of call for staff queries related to studio eg. tea/coffee/milk/IT/facilities/stationery
  • Daily awareness of meetings in studio
  • Meet and greet for clients / suppliers coming to the office
  • Arranging couriers / packing up models / labelling up shipments / handing shipments to the couriers
  • Checking that meeting spaces are clear, ready for scheduled or impromptu meetings with clients / suppliers (MW Teams should clear rooms after use)
  • Managing room bookings / catering
  • Checking that the cleaners have done a good job / setting dishwasher running if necessary / replenishing hand sanitiser / loo roll if necessary
  • Print / bind reports for client / project or marketing meetings
  • Troubleshoot issues with studio equipment eg. printer / plotter / kitchen appliances
  • Stationery and other supplies: track and order – liaise with London Office for payments
  • Organise leaving cards/gifts/arrangements for leavers including off boarding return of keys and IT equipment

 

What Skills You Need for this Office Coordinator job

  • 2-3 years experience as an Office Coordinator
  • Degree required
  • Personable person, works well with a team, be able to take initiative
  • Must be able to work both autonomously and collaboratively
