Based in Dublin 2, this dynamic, fast-moving organisation are looking to hire a skilled Operations Administrator to join their team in order to provide Administrative and Operational support to their staff of over 100.

As their new Operations Administrator, you will be primarily responsible for supporting the team and wider organisation on a number of administrative, operational and staff support based tasks. This will include coordinating office operations, solving problems and managing the training and induction of new staff. This is an excellent opportunity for someone with strong organisational, communication and problem-solving skills!

The new Administrative Assistant will be responsible for:

  • Managing day to day office operations – handling internal queries and requests
  • Managing relationships with vendors, suppliers and building management teams
  • Taking ownership of facilities and maintenance issues
  • Arranging, scheduling and supporting meetings
  • Researching and developing new processes and systems that can help the organisation streamline – taking ownership of internal IT system to boost efficiency of same
  • Assisting with onboarding, setting up, welcoming and training new starters
  • Managing central operations inbox queries and correspondence
  • Managing orders, snacks, drinks fridges, supplies, and stationary
  • Financial administration – invoicing, raising Purchase Order, settling expenses, etc.
  • Providing top tier administrative and operational support to the team

The skills and experience you need:

  • Experience in an administrative support role required – minimum 2 years’
  • Must be extremely tech-savvy – high level of proficiency with spreadsheets, MS Office Suite and strong at learning new or bespoke IT systems
  • A natural affinity towards using tools and systems to enhance productivity and efficiency  
  • Must be a self-starter, who is able to work both autonomously and collaboratively

Note: Due to the central nature of this job, this is an on-site position. There will be some flexibility to work from home on occasion, if required. Hours are 37.5 per week.
