About Your New Job

Facilities Management

  • Oversee day-to-day operations including building inspections, repairs, and renovations.
  • Monitor and oversee planned maintenance schedules, ensuring timely activity and professional service.
  • Implement and develop comprehensive facility management programs, including preventative maintenance and sustainability initiatives.
  • Use the CAFM system, Planon, to manage tasks, support asset life cycle planning, and update asset management.
  • Manage third-party maintenance team contracts, evaluate facility performance metrics, and implement continuous improvement strategies.
  • Supervise contractors and vendors, maintaining high standards of service delivery.
  • Provide regular reports to the Director of Operations on contract management and supplier performance.
  • Collaborate with cross-functional teams on facility-related projects such as office relocations and space planning.
  • Conduct regular site visits, advising on maintenance requirements and energy-efficiency opportunities.
  • Ensure Service Yards operate according to high health and safety standards.
  • Coordinate cover for high-footfall days in the Village and manage additional spends.
  • Work with the Legal team to manage the maintenance of furniture on Landlord terraces.

Health and Safety

  • Raise risks to the Director of Operations and manage the Village Risk Register.
  • Participate in the H&S committee, ensuring adherence to all aspects.
  • Prepare for departmental audits and Risk-Based Inspections (RBIs), ensuring timely follow-up actions.
  • Approve and issue high-risk work permits, ensuring compliance documentation is on file.

Finance

  • Oversee budget planning and cost control measures.
  • Prepare the annual budget and liaise with the Director of Operations.

Other

  • Maintain accurate records and documentation related to facility operations, contracts, and maintenance activities.
  • Review and update maintenance Standards and SOPs annually.
  • Foster a culture of safety, environmental responsibility, and operational excellence.
  • Support maintenance teams and shift leaders as needed.
  • Provide weekend cover when required.

What Skills You Need

  • Prior Facilities and/ or Property Management experience managing a multi-site estate or large, single site.
  • Proven experience in project management, contract management, and service delivery.
  • Ability to demonstrate drive, resilience, and flexibility in a dynamic environment.
  • Excellent time management and ability to handle a complex workload within tight deadlines and budget.
  • Great attention to detail, with the ability to work autonomously and as part of a team.
  • Exceptional interpersonal skills, with proactive communication at all levels.
  • Solution-oriented with experience in managing, leading, and developing a team.
  • Fluent in English and the local Village language; additional European languages are beneficial.
  • Proficient in Microsoft programs and able to learn new computer programs.
