About our Client
Our client is Ireland's national energy authority, with a mission to lead Ireland's energy revolution by reducing and replacing fossil fuel usage. They are a knowledge-led organization that collaborates with citizens, communities, businesses, and the government.
Their strategy for 2022-2025 aligns with government targets, particularly in the Climate Action Plan, focusing on delivering Ireland's sustainable energy transformation. Reporting to the Department of the Environment, Climate and Communications, in 2023, our client will operate an annual budget of approximately €500m. Their role is to transform energy usage by promoting efficiency and cleaner sources while leading innovation in Ireland's energy approach.
About your new job
- Manage incoming and outgoing post, couriers, and deliveries, as well as distributing office supplies.
- Coordinate the ordering and delivery of WFH/IT equipment for new hires and departures.
- Handle staff locker and pedestal allocation, keys, and maintenance.
- Oversee the car park allocation and manage flexible/bookable spaces.
- Maintain kitchen amenities, including restocking tea/coffee, cleaning, and kitchen utensils.
- Liaise with IT to set up and maintain conference/meeting rooms for key events.
- Resolve issues with meeting rooms and offices, ensuring facilities are fully functional and addressing concerns with service providers.
- Serve as the main contact for internal facility-related matters, including repairs, maintenance, and safety checks.
- Ensure the office complies with government regulations and environmental, health, and security standards.
- Promote and enforce office cleanliness expectations, plan regular office tidy-ups, and arrange necessary works with contractors, both planned and unplanned.
What skills you need
- 1 year minimum of relevant experience working within office/facilities management.
- Ability to work on own initiative and to take ownership of the role.
- An understanding of Health and Safety policy & practice in an office environment desirable.
- Good interpersonal skills with the ability to communicate verbally and in writing to a variety of stakeholders.
- Good IT skills, knowledge of and the ability to quickly learn. MS Office packages will be required.
- Ability to implement procedures in a fast-paced and evolving environment.
- Experience of setting up meeting logistics.
- Ability to coordinate multiple events, tasks and responsibilities and remain calm under pressure.
- Ability to respond quickly and calmly to problems and transmit confidence and professionalism.
- A professional and enthusiastic attitude and friendly disposition.
- The ability to deal with confidential data.
