Job Title: Executive Assistant

Location: East Galway with the options to work hybrid after 6 months

Contract type: Full time, permanent

Salary: €45,000 - €55,000 depending on experience

Hours: Monday – Thursday 8am – 4:40pm and Fridays 8am-2pm (some flexibility may be required)

About Your New Employer:

  • You will be providing EA support to two Senior Leaders. There is one other EA colleague on site.

 About Your New Job

  • Manage calendars, schedules, and meeting coordination.
  • Arrange and coordinate travel, accommodations, itineraries, and expenses.
  • Prepare presentations, reports, agendas, and meeting materials as required.
  • Attend meetings and capture clear, structured minutes. Define, distribute and track actions, owners, and deadlines.
  • Handle confidential and sensitive information with discretion and professionalism
  • Track action items and follow up to ensure timely completion of tasks and projects
  • Assist with administrative HR functions and special projects
  • Coordinate interviews, onboarding schedules, and employee meetings
  • Support employee engagement initiatives, training events, and company programs
  • Maintain confidentiality of employee records and sensitive HR information
  • Serve as a liaison between executives, employees, and external partners
  • Coordinate company meetings, leadership events, and executive functions
  • Help improve administrative processes and operational efficiencies

 What Skills You Need

  • Minimum 4 years’ experience in an Executive Assistant or similar senior Administration support role
  • Strong experience of supporting senior leadership teams
  • Exceptional written and verbal communication skills
  • Proven ability to manage confidential information with discretion
  • Strong proficiency in Microsoft Office and business systems
  • Excellent interpersonal and stakeholder management skills
  • Familiarity with HR systems and administrative processes
  • Ability to manage multiple tasks with a high level of accuracy and efficiency
