Principal Responsibilities

  1. Operational Risk Management
  • Ensure the teams adhere to all Department procedures and controls. Perform Cold Reviews on NAV Packs and Checklists.
  • Ensure Performance Fee Calculations are reviewed as per GPRFG procedures and provided to the Performance Fee Panel for signoff
  • Ensure all Fund Acc. exceptions are understood, validated & commented on as per the Department Standard.
  • Ensure all core FA reconciliations are completed and that a regular oversight is performed
  • Ensure all class level Divergences are identified and are validated. Ensure the impact of Hedging is assessed and validated
  • Ensure adherence to all non-daily procedures. Eg. Distributions, Monthly Control Checks, Regulatory Tax, Perf Fee Signoff
  • Demonstrate and continued detailed understanding of the Fund Database, Balanced Scorecard and importance of reconciliation data entered.
  • To initiate periodic reviews of team & department reconciliations, develop enhancements, resolve technical queries especially on Repo's, Collateral amd OTC products.
  • To ensure direct reports are accountable and follow Ireland FA reconciliations best practice including oversight of reconciliations saved in paperless NAV packs.
  • New clients- work with FA New Business, BPA & Control to determine the optimal reconciliation tools, process & statement access
  1. Client Service and Quality – Accuracy & Timeliness            
  • To ensure daily/weekly/monthly stats are updated on client dashboard or client service logs on a timely basis.              
  • To take responsibility for addressing service level issues within your team.            
  • To lead & drive team participation in project work with the aim of improving quality of service client receives. Ensure your team are kept informed at daily huddles and team meetings of timeliness stats and process improvements with regard to service level across the team and department
  • To ensure all NAV packs show clear indication through commentary and backup of the level of review undertaken by both the preparer and reviewer of the fund.     
  • To notify BPAs of any system issues or limitations that negatively impact service levels and ensure ongoing issues are included on your teams manual tasks log on SharePoint                   
  • To complete ASL form and client incident reports are to be completed to a high standard within 24 hours
  • To track and present team adoption of departmental  productivity and process improvements across your team and product range
  • To participate & contribute to Client Virtual team meetings & ensure all action points assigned to you are addressed on a timely basis.                   
  1. Productivity and Change Control Management
  • Work smarter allocating one’s own time efficiently including 30% towards projects and change management, demonstrate the handling of multiple demands and competing priorities across your team.
  • Lead your team in departmental idea generations  that will deliver departmental productivity savings and / or efficiencies
  • Proactive suggestions and solution sharing on potential efficiencies & automation, acting as primary liaison with Project and Technology / BPA groups
  • Completion of a quarterly deep dive across your team, tracking recommendations to completion with the support of your Manager
  • Proactively Support and engage with the FA client change team in supporting new change initiatives
  • With the support of your manager, own the maintenance of the FTE data for your team and insure FA Database is updated on a monthly basis
  • Active support of the transition of funds to Outsourced locations & into COE teams
  • Ensure all new client requests are routed through ERM for approval prior to implementation and forms part of client change process.
  • Facilite workshops for business partners and developing best practice in terms of process improvement, operational deep dives etc.

Apply project and change management best practice relevant to the role you are playing on an initiative

  • Act as a UAT partner in a testing environment
  • Act as an SME on a strategic project
  • Act as the process / product SME in the roll out of a specific FA initiative
  • Act as the PM in an FA Innovation or Solution initiative
  • Lead a process optimisation review of a FA task and delivering an enhanced solution to the business areas        
  1. Outsourcing & Oversight     
  • Annual Outsourcing Training is completed.  
  • Regular oversight meetings between home & outsourced FA locations.
  • Issues arising from the outsourced arrangement are promptly escalated.               
  • Work with new business to support launches/take-ons including onboarding calls. Ensure full completion & sign off of transition checklist to Outsourced teams.                       
  • Regular cold reviews & oversight of Outsourced funds & activities to ensure consistency & no gaps between locations.               
  • The Home location FA teams remain owners of all recs / KPI’s. Regular reviews of such are required.                         
  • Maintain an understanding of the industry and company, in particular the company systems, infrastructure and process/data flows.
  • Evidence of successful neg. skills
  • Strong communication, first class presentation and internal and external client-servicing skills.
  •  Detailed Knowledge of Enterprise and related Fund Accounting Applications
  • Responsible for co-coordinating systems testing in the team.
  •  Experience with vendors preferred (Bloomberg, Reuters etc).
  • Responsible for the rollout of new procedures within the team in consultation with BPA/Team leaders/NAV Managers.
  • Understanding of how Fund Accounting systems link and interface to other systems and an appreciation of how to implement such interfaces.
  • Analytically and procedurally competent to represent the team on cross-function process or project deliverables.
  • To provide input into long term strategy for department Client Service
  • Experience of representing businesses to current clients via presentations etc.
  • Collaborate and consult with project/assignment stakeholders with ease. Prepare and recommend solutions to project/assignment issues and risk factors. Provide regular updates to the stakeholders on project statusPeople Management Experience of designing and implementing development plans, training plans, and succession plans for all levels of staff.
  • Instill a client service culture among staff and ensure that all clients receive a quality service.
  • Ensure accuracy and timings are consistently achieved within the team and when not achieved actively pursue a solution. Proactive in maintaining Service Level Agreements and recognises when the SLA needs to be amended. Ensure the team adheres to SLA and fund prospectus.

  • Experience of designing and implementing development plans, training plans and succession plans for all levels of staff.
  • Lead by example and actively mentors and coaches individuals on the team. Provides guidance, knowledge and feedback to mentees. Mentors individuals and peers during a project/assignment.Identify tasks to be completed by project team and ensure that they are completed in a timely and efficient manner. Ensure best use of resources and systems. Identify individual responsibilities as well as overall project team responsibilities and ensure that these are being met.
