Personal Assistant

Provide full administrative / secretarial support to a Senior member of staff.  Monitor and deal with emails and written correspondence received by the Director, ensuring they are acknowledged, prioritised, actioned appropriately and responded to.  Effectively and efficiently manage the Diary, to include scheduling of meetings, responding to meeting requests, ensuring all documentation required for meetings is received/issued and available for the Director in advance. Organise and attend meetings as required and minute taking. Proactively manage, monitor and control all correspondence issued by and received by the Director and where appropriate undertake the drafting of correspondence on behalf of the Director. Prioritise progress and pursue follow-up actions on behalf of the Director in a timely manner. Deal appropriately and efficiently with queries, callers and visitors to the Office. Take and relay accurate and timely messages and deal with queries where possible. Provide support in producing reports, briefings and presentations as required. Assist with the collection and collation of data and information as required for preparing reports, briefings and presentations. Provide administration and secretarial support to Service Line Managers as required.  Maintain confidentiality and a high level of professionalism.
