Executive Assistant
Work with multiple senior management executives to ensure that they can efficiently manage very busy work schedules, respond promptly to communication and stay in touch with staff and members. This includes diary management, travel arrangements and production of agendas and working papers for boards and committees. Direct incoming calls, visitors, mail and email. Preparation and compilation of reports, presentations, agendas and papers for meetings. Arranging international travel (i.e. preparation of comprehensive itineraries including flights, timely arranging of visas, hotel bookings and meeting arrangements). Draft responses to correspondence within agreed parameters/timelines. Work closely and coordinate cross departmental activities between the Senior Management Team to support all aspects of Institute business. Administer expenses and ensure timely payment of any outstanding invoices and maintaining appropriate records. Develop and maintain effective and efficient office systems. Organise events and functions.
